The Trip Record Is the Operating Instruction

Required field What to verify
Assignment identity Trip number, operator, affiliate/network brand, assigned professional, and assigned vehicle.
Schedule Date, local time zone, AM/PM or 24-hour time, pickup time, requested arrival, flight/event time, and planned wait.
Guest Correct name, party size, authorized contact, privacy instruction, accessibility note, and sign text.
Locations Exact entrances, terminals, stops, staging areas, parking instructions, and final destination.
Service Vehicle class, amenities, event schedule, route or quiet-ride preference, and special handling.
Payment Who pays, approved method, authorization status, amounts to collect if any, added-time process, and gratuity display.
Compliance Prearrangement record, permit/credential requirement, insurance/registration location, and capacity limit.
Stop and clarify: If any critical field is unclear—especially date/time, pickup, destination, guest, vehicle, payment, or airport instruction—contact dispatch before moving. Asking early is professional; guessing is not.

Device-Neutral Dispatch Statuses

TRIP COMPLETE Guest and luggage delivered; trip ready for closeout. Time, location, payment/property/incident status.
ASSISTANCE NEEDED Non-emergency operational support required. Issue, safest current status, specific help requested.
EMERGENCY Immediate threat to life, safety, or security. Contact emergency services first when required, then dispatch.
Driving rule: Never type, read, or manually operate a dispatch device while the vehicle is moving. Use an approved hands-free function only when lawful and genuinely nondistracting; otherwise park safely before communicating.

Concise Communication

  • State the trip ID, status, location, time, and the exact decision or help needed.

  • Speak slowly and clearly on radio or voice systems; avoid slang, profanity, jokes, or unnecessary guest information.

  • Acknowledge instructions and repeat back safety-critical changes.

  • Keep person-to-person chatter off operational channels.

  • Treat dispatch as a partner managing many simultaneous trips; give usable facts, not emotion or blame.

Payments and Gratuities

  • Know the payment instruction before pickup. Never assume the person riding is the person paying.

  • Use only the operator's approved secure payment system and process. Do not write down card data or move payment to a personal account or app.

  • If collection is required before or during the trip, communicate it politely and at the instructed time.

  • If the payer, card, authorization, amount, or method differs from the trip record, stop and contact dispatch.

  • Explain whether a service charge or gratuity is included only from the approved trip record; do not improvise or pressure the guest.

  • Provide the same service regardless of expected or actual gratuity and never confront a guest about a tip.

Trip Closeout

  1. Confirm safe guest exit and luggage delivery.

  2. Ask the guest to check for personal items; then inspect the vehicle.

  3. Complete authorized payment steps and receipts.

  4. Send TRIP COMPLETE with any required time, mileage, stops, wait, added service, or affiliate record.

  5. Report found property, damage, cleaning need, safety issue, complaint, compliment, or service-relevant preference through the approved channel.

  6. Submit records promptly, legibly, accurately, and without unnecessary sensitive detail.

Service Recovery: Solve Forward

Notify Tell dispatch early; include location, time, impact, and facts already known.

Never lie: Do not invent traffic, a flat tire, a mechanical failure, or another excuse. A prompt, honest update preserves more trust than a story that can be disproved.
